Responsible for leading the processing and review of biweekly, semi-monthly, and weekly payrolls for exempt and non-exempt employees in the U.S. and Canada, ensuring accurate and timely execution in accordance with the payroll calendar, including off-cycle special payments.
This senior role ensures that all elements impacting gross and net pay—such as hours worked, benefits, deductions, adjustments, and garnishments—are accurately reflected in each payroll cycle, while ensuring compliance with legal regulations and promoting continuous process improvement.
- Lead the processing and review of assigned payrolls (biweekly, semi-monthly, and weekly) for exempt and non-exempt employees in the U.S. and Canada, ensuring accuracy, compliance, and timely execution.
- Proactively coordinate with the payroll team to ensure efficient management of all pre- and post-payroll activities (e.g., taxes, 401k, direct deposits).
- Collaborate with various HR departments (Compensation, Relocation, International HR, HR Business Partners, Benefits, LOA, HR Operations, etc.) to ensure data quality and consistency across payroll processes.
- Execute off-cycle payroll runs and manage special payments, ensuring traceability and compliance.
- Investigate and resolve complex employee inquiries related to taxes, direct deposits, and time and attendance, acting as a technical point of reference for the team.
- Ensure compliance with all applicable federal and state regulations, as well as wage and hour laws impacting payroll systems and processes.
- Actively participate in internal and external audits, providing technical support, documentation, and analysis as required.
- Contribute to shared services center initiatives, including process harmonization, time and attendance projects, and system updates.
- Develop and analyze metrics and key performance indicators (KPIs) to monitor service performance, identify improvement opportunities, and propose corrective actions.
- Maintain up-to-date and well-documented payroll process documentation, ensuring clarity, consistency, and audit readiness.
- Manage weekly pre-scheduled meetings with employees to address payroll-related topics (ABT).
- Serve as a technical and behavioral role model for junior team members, fostering their development.
- Lead payroll-related projects from planning through implementation, ensuring impact and sustainability.
- Act as a change agent by proposing and implementing continuous improvements in payroll processes, with a focus on efficiency, quality, and employee experience.
- Graduates of University Careers related to the role to be performed (Administration, Accountant, Labor Relations, etc.).
- 5–7 years of experience in administrative, accounting, or similar roles.
- 1-3 years of experience in continuous improvement and innovation projects.
- Advanced level of English (spoken and written).
- Advanced knowledge of Microsoft Office (mainly Excel, must have).
- Experience working with SAP, Power BI and/or Service Now (desired).
- Effective communication, customer orientation, analytical thinking with attention to detail, ability to interpret data and solve problems, strong organizational skills, and teamwork under pressure.
